Timesheets and expenses can be added to interval payment (temp & contract) placements for the time (hours/days) worked and expenses incurred by the worker.
A timesheet is defined as a set, consistent pattern of days where data can be input. This pattern can be set as 1-weekly, 2-weekly or 4-weekly.
Expenses can be set as payable by the agency (and will therefore be deducted from the estimated value calculation) or payable by the client (which won’t impact the estimated value calculation).
Timesheets and expenses are managed either via the placement record or the Timesheet Hub, and the ability to manage these is permission-based.
Preparing to use Timesheets & Expenses
Before you start using Timesheets and Expenses there are a couple of steps you need to take.
- Set the timesheet period (1-weekly, 2-weekly or 4-weekly) and source date, see the article Settings | General Settings for more information.
- Set User timesheet permissions, please see the article User Management | Permissions.
- Set Timesheet & Expense Statuses (e.g. approved, unapproved) and Expense Types, please see the article Data | List Items

Enabling a Job / Placement for Timesheet & Expenses
Each Placement record must first be enabled for timesheets and expenses. This can also be set at the job level, which will then pull through to any subsequent placements made against the job. See the articles Job Record and Placement Record for more information.
Adding Timesheets & Expenses
Timesheets & Expenses can be added either via the Timesheet Hub or the Placement record, please see the following articles for more information: Timesheets Hub & Report and Placement Record | Timesheets & Expenses.
Data for both Timesheets & Expenses can be added to outlying dates (dates outside the placement start and end date) to ensure you are not restricted in entering information when needed, for example if the worker gets paid for travel expenses or training prior to the placement starting.
